At first glance, this order may seem “small” — a total of only 10.2 tons. Yet it included 37 different line items, covering both Russian GOST and American ASME standards. For us, this meant tackling challenges such as cross-standard comparison, weight calculation, material verification, and coordination with multiple suppliers.
The client is a trading company based in Central Asia. The key decision-maker does not speak English, so every communication had to wait until his assistant was available to translate. The language and timing barriers made even the simplest confirmations a real challenge.
When we received the initial inquiry, we noticed that the list included both GOST fittings and ASME products. To avoid any discrepancies, our team carefully cross-checked every item against the relevant standards, compiled a detailed specification sheet, and prepared documentation to help the client communicate with their end user. For each set of documents, we added clear notes and annotations in advance, reducing the client’s workload and risk of misinterpretation.
With 37 separate items, the workload for calculating dimensions and weights was significant. We calculated the unit and total weight for each specification to ensure absolute accuracy in the quotation. For items where standards overlapped, we proactively offered technical suggestions to help the client mitigate potential procurement risks.
Because the decision-maker relied entirely on his assistant for communication, our messages often went unanswered until the evening. To keep the project moving forward, our team maintained a high level of responsiveness — even on weekends and holidays, we ensured timely replies whenever the assistant was available. Over time, this consistent support allowed the client to truly feel our dedication and reliability.
From the first inquiry in March 2024 to the final contract signing in May 2025, the process spanned 14 months. During this period, the client hesitated and adjusted requirements several times. Yet we never gave up. Instead, we used each interaction as an opportunity to patiently explain standard differences, price fluctuations, and delivery timelines. Ultimately, the client recognized our persistence and professionalism, and the contract was successfully signed.
Although the order volume was small, its significance to our team is profound. It proves that in international cooperation, what truly convinces clients is not the lowest price, but the depth and detail of service.
